Quick answer: good admission follow-up means replying the same day, inviting every parent to visit, sending clear fee and document information, confirming seats quickly and checking back with parents who went quiet. The templates below cover each stage; send them from your school's verified WhatsApp number and log every reply against the enquiry.

Counsellors are busy in admission season, and follow-up is the first thing to slip. Templates help: they make the first reply fast, keep the tone consistent across counsellors and make sure nothing important is left out. Adapt the wording to your school's voice, and keep messages short. In the templates, words in square brackets are placeholders.
Why admission follow-up matters
Parents usually enquire at several schools at once. The school that replies first and makes the next step easy often gets the campus visit, and the visit is where most decisions happen. Slow or inconsistent follow-up is one of the most common reasons schools lose admissions they could have won.
Admission follow-up templates by stage
1. First reply (within hours of the enquiry)
WhatsApp: "Hello [Parent name], thank you for your enquiry about admission to [Class] at [School name]. I'm [Counsellor name], and I'll help you through the process. Would you like to visit the campus this week? We have slots on [Day] and [Day]."
Call script: introduce yourself, confirm the class and board, ask what matters most to them (location, transport, activities, fees), and offer two visit slots.
2. Campus visit reminder (the day before)
"Hello [Parent name], a reminder of your visit to [School name] tomorrow at [Time]. Here is our location: [Map link]. Please ask for [Counsellor name] at reception. See you soon."
3. After the visit (same day)
"Thank you for visiting [School name] today, [Parent name]. As promised, here is the fee structure for [Class] and the list of documents for admission. I'm happy to answer any questions."
4. Fee discussion
Call, don't just send a PDF. Explain what the fee includes, instalment options, transport fees for their area and any sibling concession. Then confirm the next step in writing.
5. Document checklist
"To complete [Child name]'s application, please share: [Document 1], [Document 2], [Document 3]. You can upload them here: [Link], or bring them to the office."
6. Interaction or assessment invitation
"[Child name]'s interaction is scheduled for [Date] at [Time]. It's a friendly conversation, nothing to prepare. Please arrive ten minutes early."
7. Seat offer and confirmation
"We're happy to offer [Child name] a seat in [Class] for [Academic year]. To confirm, please complete the registration payment by [Date] here: [Payment link]."
8. Gentle check-in for quiet enquiries
"Hello [Parent name], just checking in about [Child name]'s admission. Is there anything I can help with, or a question about fees or transport? We still have seats in [Class]."
9. Lost-lead check-in (before the session starts)
"Hello [Parent name], we understand you may have chosen another school. If anything changes, we'd be glad to help. Wishing [Child name] a great year."
WhatsApp template rules to remember
Messages your school starts on the WhatsApp Business Platform must use templates approved by Meta, with placeholders for names and dates. Replies within 24 hours of a parent's message can be free-form. Parents should have agreed to receive messages. Our WhatsApp Business API guide for schools explains this.
Follow-up rules that work
- Reply the same working day, including weekends in peak season.
- One counsellor owns each enquiry.
- Every message and call is logged against the enquiry.
- Never more than one unanswered message in a row; switch to a call.
- Stop after the parent says no, with a polite close.
How to measure follow-up
Track time to first response, visits booked per enquiry and enquiries with no next step. Review them weekly. Our guide on how to increase school admissions lists the other measures.
How CtrlCampus helps
In the CtrlCampus Education CRM, every enquiry has an owner and a next step, counsellors get follow-up reminders, and unassigned enquiries are flagged. Counsellor follow-ups go out on WhatsApp from your school's verified number, and admission enquiries can be answered automatically and tracked. FAQ: admission follow-up
How soon should we reply to an admission enquiry?
The same working day. Speed is one of the biggest factors in getting a campus visit.
How many follow-ups are too many?
If two messages go unanswered, call instead. Stop politely once a parent says no.
Should follow-up be by call or WhatsApp?
Both. WhatsApp for reminders and documents, calls for fee discussions and decisions.
Can follow-up messages be automated?
Reminders and first replies can be. Fee discussions and offers work better from a counsellor.
Do we need parental consent to message on WhatsApp?
Yes. Parents should agree to receive messages, usually when they enquire. Book a demo to see follow-ups in the CRM.
